Hotel Accommodation

HOTEL INFORMATION

A number of hotels in different price categories, ranging from luxury hotels to budget hotels, have been pre-booked at preferential rates for the Congress. Rates include breakfast, local VAT and service charges.

All hotel accommodation bookings must be accompanied by a deposit as indicated below, in order to secure and guarantee your reservation. Upon receipt of the deposit, each participant will receive a confirmation with an invoice for the final payment of the total room charge. Please make sure to indicate correct invoicing address on the registration form. Do not send any payment to the hotel.
Full payment has to be made to Congrex Sweden AB by 1 May 2008. For payment details, click on "Payment".

If the total cost of your stay is less than the requested deposit, you will only be charged the actual cost.

Should the requested hotel be fully booked Congrex reserves the right to book another hotel in the same category or in a higher category.

Room availability is guaranteed by Congrex Sweden AB on behalf of the delegates until 1 May 2008. After this date, bookings are possible against full payment by credit card, for a handling fee of EUR 30 per reservation. Congrex can not guarantee availability or preferential rate after 1 May 2008.

The hotel reserves the right to charge you for all nights reserved and guaranteed on the registration form, should you check out before confirmed departure date or in case of no-show.

CANCELLATION OF HOTEL RESERVATION
Notification of cancellation must be sent in writing to Congrex. Cancellation of hotel reservation will be accepted until 7 April 2008 up to which date the hotel deposit will be refunded less a cancellation fee of EUR 30. We regret that the hotel deposit cannot be refunded after 7 April 2008.

CHANGE OF BOOKING
Any change to a reservation must be notified to Congrex Sweden and not directly to the hotel. The changes should be made in writing and are subject to a handling fee of EUR 30.

HOTEL GROUPS
Please note that group reservations, 10 rooms or more, will be handled by separate contracts and separate regulations. Please contact eaaci2008hotels@congrex.se for further information.

HOTEL CATEGORIES
All hotel rooms in all categories have private bath with shower or bathtub, telephone, television and pay-TV.
Category A, 5-star superior hotels with minimum one restaurant, lobby bar and room service. Some with health-club.
Category B, 4-star hotels with a restaurant in the hotel or in the vicinity, lobby bar and limited room service.
Category C & D, 2-3-star hotels with a bar.
